Consists of three filters:

1. Period:

Provides three reporting period options:

• Month: Shows results for the chosen Month within the selected Year.
• Quarter: Shows results for the chosen Quarter within the selected Year.
• Annual: Shows results for the selected Year.

2. Month/Quarter:

A dynamic filter that adjusts its name/options based on your selection for the reporting 'Period'. Specifically:

• When the reporting period is set to 'Month', it provides a drop-down list to select the preferred month.
• When the reporting period is set to 'Quarter', it provides a drop-down list to select the preferred quarter.
• When the reporting period is set to 'Annual', it becomes inactive and hidden.

3. Year

Calculates figures for the selected year.

NOTE: The 'Period', 'Month/Quarter' and 'Year' filters collaborate to define your reporting period.

Allows users to attribute relevant accounting transactions or balances (except Debtors) to Staff based on their roles as:

• Staff: Fee contributor, being the staff member whose name is selected or appears within the Time/Fee window.
• Staff Responsible: Staff Responsible of the matter where the transactions and balances are created or associated with.
• Staff Acting: Staff Acting of the matter where the transactions and balances are created or associated with.
• Staff Assisting: Staff Assisting of the matter where the transactions and balances are created or associated with.
• Credit: Credit person of the matter where the transactions and balances are created or associated with.

Note:

1. Staff: This selection focuses on assessing Staff performance in terms of fee contribution, emphasising their direct fee earning contribution for the firm.

2. Staff Responsible, Staff Acting, or Staff Assisting: This selection shifts the performance assessment focus from direct contribution to matter management or assistance. It can help track accountability and manage workloads within specific matters or cases.

Example:

Staff A contributed to a fee of $1,000 on Matter 001, where Staff B is designated as the Staff Responsible. The fee was billed and collected. When the Staff Type filter is set to 'Staff Responsible' for this report, the report will incorporate Staff A's direct contribution into the calculation of Staff B's 'Fees Entered', 'Fees Billed' and 'Fees Collected' (not Staff A's).

3. Credit: This selection highlights and recognises Staff members' contributions to business development and client acquisition by acknowledging their role in bringing work into the firm.

• Staff Responsible
• Staff Acting
• Staff Assisting
• Credit

Directs the report to treat invoices with the selected status(es) as billed, affecting the calculation of 'WIP', 'Fees Billed' and 'Debtors':

• Draft Unapproved
• Draft Approved
• Printed Sent (Final)

Example:

If you set the filter to 'Printed Sent (Final)' only, the report will only consider finalised invoices as billed. Consequently, fee items on draft invoices will be treated as WIP rather than Fees Billed. With this selection, the Debtors amount calculation only takes into account finalised invoices.

Conversely, if you select all three statuses, the report will also consider items on draft invoices (Draft Unapproved or Draft Approved) as billed. This means that fee items on draft invoices will be considered as Fees Billed rather than WIP. With this selection, the Debtors amount calculation takes into account both draft and finalised invoices.

Displays professional fees (both Time and Fee entries) entered within the selected period and budget comparison based on the following:

• MTD/QTD: The actual fees entered for the month/quarter.
• Budget: The 'Billable Amount' budgets set for the month/quarter.
• Variance: MTD/QTD less Budget for for the month/quarter.
• FYTD: Fees entered for the 'Financial Year To Date'.
• Budget: The cumulative 'Billable Amount' budget allocated for the entire financial year.
• Variance: FYTD less Budget.

NOTE:

• 'Fees Entered' captures all Time/Fee entries entered within the relevant period, including those set to 'Not Billable'. Deleted entries are excluded.
• When the reporting period is annual, the available fields are only FYTD, Budget and Variance, with no monthly or quarterly data displayed.

• Billable Hours: The actual Billable hours entered for the month/quarter.
• Budget: The 'Billable Hours' budgets set for the month/quarter.
• Variance: The Billable Hours less Budget.
• FYTD: Billable hours entered for the Financial Year To Date.
• Budget: The cumulative 'Billable Hours' budget allocated for the entire financial year.
• Variance: FYTD less Budget.

• This field excludes Time entries set to 'Not Billable'.
• When the reporting period is annual, the available fields are only FYTD, Budget, and Variance, with no monthly or quarterly data displayed.

• Ageing: The Ageing period of the WIP balances. (Current, Period 1, Period 2, Period 3)
• Total: The total WIP.

• Ageing Periods catetories can be customised under the LEAP Menu > Settings > Application Settings > Accounting > Reports.

• MTD/QTD: Fees Billed for the month/quarter.
• FYTD: Fees Billed for the Financial Year To Date.

NOTE:

• This field captures fees on invoices dated within the specified period.
• It reflects a fee entry' billed amount on the invoice, rather than the original amount displayed in the Time/Fee window.
• The MTD/QTD field is only available when the reporting period is set to Month or Quarter.

• MTD/QTD: Adjustments to billed fee amounts on invoices within the Selected Month/Quarter.
• FYTD: Adjustments to fee amounts on invoices  within the Financial Year which contains the selected date.

NOTE:

• Invoice adjustments affecting billed fees.
• Fee reallocations.

For example, if an invoice is dated in January 2024 but adjusted in February 2024, when the reporting period is set to February 2024, 'Adjustments - MTD' will capture this adjustment simply because it is dated in February. This occurs even though the 'Fees Billed - MTD' section of the same report does not capture fees billed on the same invoice.

3. The MTD/QTD field is only available when the reporting period is set to Month or Quarter.

The amount of Shortfall for staff measured against the Budget (Excluding Fees Billed and WIP).

NOTE: Shortfall calculation will not be reflected on graph when in negative. This can be caused by the following:

• No budget has been set.
• Budget being achieved.

• MTD/QTD: Fees Collected for the month/quarter to date.
• FYTD: Fees Collected for the Financial Year to date.

NOTE:

• This field captures receipts that were applied to invoices within the specified period.
• It accounts for the value of receipts allocated to professional fees associated with the staff member. This allocation may result from either direct contributions or indirect contributions, depending on the 'Staff Type' selected.
• The MTD/QTD field is only available when the reporting period is set to Month or Quarter.

• Current, Period 1, Period 2 and Period 3: Provides a breakdown of Debtors amount, categorised by ageing period.
• Less Credit: Culmulative credit balance as at the end of the selected period of the relevant matters.
• Total: Ageing debtor balances less credits.

NOTE:

• The outcomes may vary based on your selection for 'Attribute Debtors'.

For instance, if you attribute Debtors to the Person Responsible, any outstanding invoice amount on a matter is attributed to the Person Responsible of that matter. Consequently, the 'Less Credit' field will aggregate matters associated with the same Person Responsible and calculate the total credit balances across those matters.

• Current: Matters that have NOT been 'Closed' or archived.
• New: Matters opened within the selected period (i.e., having a 'Date Opened' within the selected period).
• Closed: Matters have been 'Closed' within the selected period (i.e., have a 'Date Closed' within the selected period).

NOTE:

• The results are grouped by 'Person Assisting'.
• The categories 'Current' and 'New' are NOT mutually exclusive, nor are 'New' and 'Closed'.
• This fields do not consider any matter created after the selected period.
• The categories 'Current' and 'New' capture an archived matter if the matter's 'Date Opened' or 'Date Closed' falls within the selected period.
